Outlook Tasks Creating a New Task

A "Task" in Outlook is very similar to a Calendar Appointment. You will notice a few differences such as a list of "Tasks" which is different than the Calendar view of Appointments. You can assign a "Task" to one or more people, and you can check the "Task" as complete when it is finished. You can remove a "Task." Practice the following to develop the skill of creating a new "Task." When you are finished move to the link at the bottom of this page titled "BACK" to go to the "Outlook Lessons" web page.

1. Open Outlook.

2. Press Control 4 to go to the "Tasks" area.

3. Press Control n to create a new task. You will be placed in the "Subject" edit box.

4. Type a subject for the new task.

5. Hit the Tab key one time and you will be in the "Start Date" box.

6. Type a date using the mm/dd/yyyy format. For example, 12/28/2013

7. Hit the Tab key one time and you will be in the "Due Date" edit box.

8. Type a date the "Task" is supposed to be done. Use the mm/dd/yyyy format. For example, 01/28/2014

9. Hit the Tab key one time and you will be in the "Status" combo box on the "Not Started" item.

10. Down arrow through the "Status" combo box to the item you want.

11. Hit the Tab key one time and you will be in the "Priority" combo box.

12. Down arrow to the item you want in the "Priority" combo box.

13. Hit the Tab key one time and you will be in the "% Complete" box.

14. Type a number which indicates what percent of the "Task" is complete.

15. Hit the Tab key one time and you will be on a "Reminder" check box.

16. Hit the Spacebar one time to check the "Reminder" check box, or leave it unchecked.

17. Hit the Tab key one time and you will be on the "Owner" sound item. If you hit Enter you will be on a check box that is checked. You can hit the Spacebar to uncheck the item if you want.

18. Hit the Tab key one time and you will hear your screen reader say the name of the "Owner" of the "Task." That is, the person who created the "Task."

19. Hit the Tab key one time and you will be in a large area where you can write about the "Task."

20. Press and hold down the Alt key and hit the letter s to save and close the "Task," or continue to number "21" below.

21. Hit the Alt key one time.

22. Right arrow to the "Task" tab of the ribbon.

23. Down arrow one time.

24. Tab over to the "Assign Task" item.

25. Hit the Enter key one time and you will be in the "To" edit box of an email type form.

25. Type the email address of one or more people to whom you are assigning the "Task." You can also type in a Contact Group here.

26. Tab through all areas of this form and change any information if you need to.

27. Press Alt s to send and close the "Task."
